Vendor credentialing is the process hospitals use to verify that outside representatives — medical device and pharmaceutical sales reps, equipment service technicians, and other vendors — meet a hospital's compliance requirements before they are allowed on-site, especially in patient-care areas such as operating rooms, labs, and procedure suites.
Hospitals credential vendors to protect patients, staff, and the facility. Credentialing confirms that a rep has cleared a background check, carries valid professional credentials and insurance, is up to date on required immunizations, and has completed safety and privacy training. It also helps the hospital meet regulatory and accreditation expectations — such as HIPAA privacy rules and OSHA workplace-safety standards — and limits liability when non-employees work in sensitive areas.
Hospitals manage credentialing through third-party platforms. The most common are Symplr (SEC³URE), GHX/Vendormate, Green Security, HealthTrust VPro, and IntelliCentrics. A rep registers on the platform their target hospital uses, uploads the required documents, pays the platform fee — typically $250–$700 per rep, per platform, each year — and waits for verification. Reps who cover several hospitals often maintain accounts on more than one platform.
